The roles
| Role | Typical person | What they can do |
|---|---|---|
| Org admin | Operations or IT lead | Manages people, usage sources, ingestion keys, Slack, firm policy and the subscription. Sees every engagement, reports, chargeback and the audit log. |
| Finance owner | Finance director or practice manager | Sees every engagement, approves top-ups above owners' limits, runs and locks the chargeback export, sets markup and firm policy. |
| Engagement owner | Partner or project lead | Creates and runs engagements, changes their budgets and thresholds, approves top-ups within their limit and assigns unattributed usage to their engagements. |
| Contributor | Associate, consultant or developer | Sees the engagements they're added to and can request a top-up. |
| Viewer | Anyone who needs to look, not act | Read-only. Sees the engagements they're added to as a contributor, but can't request top-ups. |
Markup is set by Finance owners only. An Org admin who also sets markup needs the Finance owner role as well. Every firm keeps at least one Org admin.
Everyone in the firm can see the People and Clients lists, the model price table and the firm's AI spend total for the month under Settings → Plan.
Invite people
- An Org admin opens People and selects Invite people.
- Enter one or more work addresses, separated by commas, and tick the roles.
- Select Send invitations. Each person gets an email with a temporary password that lasts 7 days.
Until they sign in, people show as Invited, with Resend if the email went astray. Each person belongs to one firm; an address already used in another firm can't be invited, so contact us if it needs to move.
To add someone to a particular engagement, open the engagement, select Edit people and details and add them under Contributors.
Change roles and approval limits
Select Edit next to a person to change their name and roles. For people with the Engagement owner role you can also set a Personal approval limit, an amount in the reporting currency that replaces the firm's amount for the engagements they own. The firm's percentage of budget at the time you save still applies, whichever is lower; if the firm later changes its percentage, save the person again to pick it up. See Alerts, approvals and stops.
Remove someone
Before removing someone, change the owner of the engagements they own; otherwise their alerts and approval requests reach no one until they escalate. Then select Remove next to the person. Their sign-in sessions and access to the app end straight away. Their usage history stays on the engagements it belongs to, and the removal is recorded in the audit log. You can't remove yourself.
If the person had an ingestion key, for example for the Allcora CLI, create a new key under Usage sources, share it with the team and revoke the old one. Keys belong to the firm, not to a person, so removing someone doesn't revoke them.
Plan limits
Starter includes 10 people, counting both invited and active people. Growth and Enterprise have no limit on people.
