The Chargeback page is open to Org admins and Finance owners. It lists every engagement with spend in the chosen month, by client, with cost, markup and the billable amount.
Run the month-end export
- Open Chargeback and pick the month. It defaults to last month, and the previous 11 months are available.
- Check Not yet reconciled. Lines marked Estimate haven't been confirmed against the vendor's usage report yet. Reconciliation runs every morning, so waiting a day or two into the new month gives final figures, as long as your Anthropic and OpenAI sources are healthy.
- Select Export CSV to download the figures without locking, for example to review them first.
- When the figures are final, select Export and lock. Locking records the month as billed.
Only completed months can be exported. The current month shows on screen with a note that its figures will change until the month ends and reconciles.
What's in the CSV
The file is named allcora-chargeback-YYYY-MM.csv and has one row per engagement with spend or adjustments. Unattributed spend isn't included.
| Column | Contains |
|---|---|
period | The month. |
client, client_external_id | The client and its client number from your billing system. |
engagement, job_code | The engagement and its job or matter code. |
currency | The engagement's billing currency. |
cost, adjustment | AI cost for the month, and corrections, up or down, to earlier locked months. |
markup_percent, billable | The markup applied and the amount to bill. |
cost_XXX, billable_XXX | Cost including adjustments, and the billable amount, in your firm's reporting currency at the ECB rate for the last day of the month. |
figures | reconciled or estimated. |
Billing-currency amounts are converted at the European Central Bank's rate for each day of usage.
Markup
Billable is cost plus markup. Allcora uses the client's markup if one is set, and otherwise the firm default. A Finance owner sets the firm default under Settings → Firm and policy → Default markup on billable AI cost (%), and a client's markup on the Clients page. Markup applies to every line in the export, whatever an engagement's basis, so leave it at zero for internal work or adjust those lines in your billing system.
Locking and late usage
A locked month can't be unlocked. Corrections that reach a locked month afterwards, such as vendor-reported usage confirmed at reconciliation, aren't lost: they appear as an adjustment line in the next export. If you expect late usage from a gateway or the Allcora API for a locked month, contact us. Adjustments under one cent are ignored. Once a locked month includes an engagement, its billing currency is fixed.
Every export and lock is recorded in the Audit log, with who did it and when.
Monthly report
Reports shows the month's AI spend, the change on the previous month, how much was attributed to engagements and how much is unattributed, with breakdowns by client, engagement, vendor and tool. Use Print to save it as a PDF for a partner meeting.
